Privacy policy

This policy explains how we handle your personal information. We follow the New Zealand Privacy Act 2020 and its information privacy principles. It's written in plain English — if anything isn't clear, just ask.
Who we are
MotoMenu (motomenu.co.nz) is a free event listing and entry-management website run by James Copland, an individual based in New Zealand. MotoMenu is the agency responsible for the information described here.

MotoMenu is not the organiser of any event. When you enter an event, the organiser also holds your entry details and handles them under their own obligations.
What we collect
- Your account: your email address, and anything you choose to add to your profile, such as your name, phone number, club, region and bikes.
- Entry details: each rider's name and date of birth details, contact email and phone, emergency contact name and phone (and email if you give one), bike make and engine size, riding ability, and — where the event needs them — an MNZ licence number, race class and race number. For riders under 18, the parent or guardian's name and their consent.
- Saved riders: if you ask us to, we keep the rider details you've entered on your account so you can enter faster next time.
- Entries and payments: which events you've entered, the amounts, your payment reference, and whether the organiser has marked the payment as received. We never receive or store card or bank account numbers for riders.
- Basic usage data: standard technical information such as your device type, browser and approximate location from your network address, along with error logs, so we can keep the site working and secure.
Why we collect it
To run event entries and to send event emails. In practice that means: creating your account and signing you in; passing your entry to the organiser so they can sign you in at the gate, place each rider in the right class and price, and contact someone if there's an accident; giving you a payment reference and a record of your entry; sending you confirmations, payment reminders and updates about events you've entered; and keeping the site secure and working.
We don't sell personal information, and we don't share it for advertising. We only send marketing if you've asked for it, and you can stop it at any time.
Giving us your details is voluntary, but without them we can't process an entry.
Who sees it
- The organiser of the event you enter — they see your entry details so they can run the event. Other riders never see your details, and nothing from an entry appears on the public listing.
- MotoMenu administrators — only where needed to support you, fix a problem or meet a legal obligation.
- Our service providers — Supabase (database, file storage and sign-in) and Resend (email delivery). They process information on our instructions only. Both may store or handle data on servers outside New Zealand, including in Australia, the United States and the European Union. We only use providers that are required to protect your information to standards comparable to the Privacy Act.
- Others, only if required — for example where the law requires disclosure, or to protect someone's safety.
Photos and video
Photos and video are often taken at events. By entering, you consent to being photographed and filmed and to those images being used to report on and promote the event, the organiser and MotoMenu. The full wording is clause 12 of our terms and disclaimer.
How long we keep it
- Entry records are kept for 7 years after the event, then deleted or anonymised. Organisers may need some of this for their own safety and tax records, and we keep it that long so entry and payment history can be checked if there's a dispute or an injury claim.
- Saved riders stay on your account until you delete them or close your account.
- Accounts that have been inactive for 7 years are deleted.
Keeping it safe
Your details are held in an access-controlled database. Sign-in uses a one-time email link rather than a password, entry details are readable only by you, the event's organiser and MotoMenu administrators, and traffic to the site is encrypted.
Your rights
Under the Privacy Act 2020 you can ask to see the personal information we hold about you, and ask us to correct anything that's wrong. Most of it you can view and edit yourself in your profile, your garage, your saved riders and your entries.
To ask for a copy, a correction, or deletion of your information (including closing your account), email hello@motomenu.co.nz. We'll reply within 20 working days. If an event has already run, some entry information may need to stay with the organiser, or with us for the 7-year period above, even after your account is closed.
Complaints
If you're unhappy with how we've handled your information, please tell us first at hello@motomenu.co.nz so we can put it right. You can also complain to the Office of the Privacy Commissioner: call 0800 803 909, email enquiries@privacy.org.nz, or visit privacy.org.nz.
Changes to this policy
If we change this policy we'll post the new version on this page and update the date at the top. If a change materially affects how we use your information, we'll also tell you by email or with a notice on the site.
